- What is the Javelin Feedback Management Platform?
The Javelin Feedback Management Platform is a powerful system for establishing and streamlining feedback collection and management processes.
- What is the Javelin Workbench?
The Javelin Workbench is the client component used to design, manage and report on feedback forms. It provides the functions needed for deploying and managing the forms, manage communications with the feedback form recipients and generate reports.
- Do I have to install anything to run Javelin Workbench?
If you are using a Macintosh running OS X, there are no additional downloads to perform. On all other platforms, you need to have Java Runtime Environment (JRE) installed. Java Runtime Environment (JRE) is available for download from http://www.java.com/en/download/index.jsp. Be sure to the follow the link "Java Runtime Environment (JRE)" and download the JRE version for the operating system you are running. Installation instructions are available on on the download page. Once you have successfully completed installation, you are ready to launch Javelin.
- I have created a survey using Javelin. How do I launch it?
If your survey is anonymous, you can copy the link shown on the main project properties screen and paste it your website or send it to respondents. For non-anonymous surveys, you will have to use Javelin's built-in communication manager to send the links to the the respondents.
- How can set up start and end dates for the project?
You can set the open and close dates for the project from the project "Settings" tab. The project links would only be active only during the specified date range.
- What will the respondents see when they use a link to a project that is closed?
A default message indicating that the project (survey or form) is closed. You can customize the message from the project "End Pages" tab. Select "Project Closed" from the End Page Type drop-down and change the Custom Message. You can also redirect the user to a different URL.
- Does Javelin have support for other languages?
Yes. You can specify the primary language on the project "Settings" tab. You can also have the same survey in multiple languages. Refer to the online help to set up a survey in multiple languages.
- How can I limit respondents from submitting multiple times?
On the project "Settings" tab, uncheck "Multiple submits" to stop respondents from submitting multiple times. If your project is anonymous, browser cookies are used to stop multiple submits from the same user. If the user clears the cookies, they will be allowed to submit multiple times. For non-anonymous projects, Javelin generates unique links for each user. This is a more fail-safe method to stop multiple submits from the same user.
- How can I limit access to the survey to only certain email addresses?
For non-anonymous projects, Javelin generates unique links for each user. Only the respondents that receive the emails will have access to links.
- I have a long survey. Can my respondents complete the survey in multiple sessions?
Yes. From the project "Settings" tab, check "Allow resume". The respondents will see a "Finish later" button on each page. They can use it to save their responses and continue later.
- How can I change the labels on the buttons the respondents see?
You can change the labels from the project "Settings" tab "Custom Labels" area. A field is provided for each label that may be shown to the respondents.
- How do I embed images or other content in the project?
You can upload images and other content from the File > Upload Content menu item. You can then use "Insert Image" or "Insert Link" to embed content into any of the description areas.
- Can I use HTML in the description area?
Yes you can. Select the Editor icon in the tool bar while the focus is in the description area. This will launch the HTML Editor window.
- Can an image be used as the title of my form?
Create a new theme and use the image in the theme. You can set the image as the background image of the title area.
- Can I randomize the order of choices to avoid bias?
Yes. Select "Random order" in the Choice properties.
- Can I randomize the order of questions?
Yes. Select "Random item order" in the "Section" properties. This will randomize the questions within the section.
- Can I make changes to the survey while it is open?
Yes. In most cases, the respondents will not be adversely impacted even if they are in the middle of submitting responses. However, drastic changes like deletion of items, changing the order of items, changes to conditional logic may cause unexpected behavior for the respondents who are in the middle of submitting responses.
- For a drop-down, "Select-One" text is shown. Can I change the prompted text for a drop-down?
Yes. Change the text shown in the "Prompt" field in the Drop-down properties.
- I have long description for choices. How do I shorten them for reporting purposes?
Javelin uses the "Value" label in reports. Set the text in the "Value" field of the choice to the text that you would like to use in your reports. You can also change the labels for choices for specific charts.
- I have a long list of choices for a drop-down and it's cumbersome to input each one into Javelin.
You don't have to manually type in each of the choices. You can import them from an external text file. Have each choice on a separate line in the text file.
- What are Tracking Parameters?
Tracking Parameters allow you to assign certain known attributes regarding respondents to your form invitations and use those attributes in your analysis of the responses without asking the respondents values for those attributes. For example, if you are conducting a survey with respondents from several regions (such as US, Europe, Asia, Africa) and you know the geographical location of the respondents (i.e., you have email lists of respondents by region), you can set up your form with a tracking parameter called Region. You must then send communications by region and associate that region's name with the tracking parameter when you send the message. Be sure to include the URL in the message since it will contain information that is used to automatically include the region along with respondent's answers.
The respondent will never see the tracking parameter, however, the system will automatically track and record those fields from the URL you include in your communication. Tracking parameters then become available to you during data analysis. - What is a Hidden Field?
A hidden field is a component that does not appear on the form displayed to the respondent. It is able to hold information that can be used similar to a user's response, for example within reports and conditional logic. It can also be used to hold piped or calculated values based on the respondent's input to other fields within the form.
- How do I share my project with other Javelin Workbench users?
In the Enterprise Edition, users can share their projects with other users. Access control is set up using Permissions and Groups. Refer to online help for details.
- How do I change the colors, fonts and other customize the look and feel of the survey?
You can use existing themes or create a new theme.
- Can I receive an email when someone submits a response?
You can use "Rules" to conditionally send email notifications when a response is submitted. If a filter is not defined for the Rule, then every response submission will result in a email notification. See the "Rules" section in the online help for more details.
- How do I skip certain items conditionally?
You can set up "Rules" to conditionally display sections, items/fields or choices (for Choice/Drop-down fields). See the "Rules" section in the online help for details.
- Can I set up conditional logic where I am comparing two numeric fields?
You can set it up using response piping. See the "Rules" section in the online help for details.
- Is there a limit on the number of alternate end pages?
There is no limit. You can set up any number of alternate end pages.
- I would like to send out an email from a different system? How can I track the respondent?
Javelin supports tracking of respondents when you use the built-in communications manager. For non-anonymous forsm, each respondent gets a unique URL when emails are are sent out from Javelin. If you want to use an external system to send emails and track the respondents, you have to add a tracking field to capture the email of the respondent. The form you create will be an anonymous form. You can then pass the value of the email tracking field by appending it to the form URL.
The format to use: Form-URL&tracking-field-name=email-address.

Reminder emails can be set up for non-anonymous forms. You can set up follow-up emails for sent or scheduled emails from the Communication Manager.
- Can I create my own Address Book fields?
Besides the standard fields, the Address Book supports 10 additional custom fields that you can rename. Use the Tools > Rename Custom Fields menu to rename the custom fields.
- How do I import addresses into Javelin Address Book?
You can import data from a CSV formatted text file into the Address Book. The import window provides a mechanism for mapping the columns from the CSV file to the Address Book fields.
- How do I use the Address Book fields in my emails?
When you are typing the message of any communication, use the Insert tag dropdown list or click your right mouse button in the message text area and select the appropriate Address Book field to include in your message.
- Can I connect to an Active Directory/LDAP and download information?
If you have access to an Active Directory/LDAP server where respondent information is already maintained, you may choose to use that server along with the address book. You are then able to query both the address book as well as the server for addresses to add to your communication. See online help for details.
- Can I find out who has not responded yet?
This can be done for only non-anonymous forms. In the Communication Manager window, the Status button shows the listing of emails of the selected message recipients that have responded and not responded.
- Can reports be dynamically generated?
Static/Dynamic property of a report indicates whether a report is generated every time it is accessed (Dynamic) or whether a copy of the report from the last time it was generated is retained and made available (Static).
- Can I include responses only for certain dates in my report?
Yes, you can. You can create a filter for the Response Date.
- Can I change the colors used in charts?
You can customize the colors and text used in charts. Use the Data Labels tab of a report component to select the colors and customize the text of the labels.
- Can I hide some of the choices in the report?
Yes, you can. Use the Data Labels tab of a report component to delete the choices that you would like to hide. If some of the choices do not have any responses, you can exclude them by unchecking "Include unanswered choices" on the Filter tab.
- How do I change the labels for choices
You can customize the colors and text used for choices. Use the Data Labels tab of a report component to select the colors and customize the text of the labels.
- How can I collapse choices?
Use "+" on the Data Labels tab of a report component to collapse and provie a common label for the choices.
- Can I create frequency charts for text or numeric input field?
You can use "Distinct Values" on the Data Labels tab of a report component to create frequency charts for both text and numeric fields. You can define "Bin Ranges" for numeric input fields to create frequency charts.
- I would like to use other reporting tools, how can I extract the response data from Javelin?
You can use "File > Export Data" menu item to export response data to a CSV formatted file to use in other reporting applications.
